Principles for Preparing Materials
To assist nominees and recommending organizations with the 2026 AIET Association Awards, the Secretariat has prepared consolidated guidance on questions frequently raised about nomination materials. This guidance explains how documents should be organized; the eligibility conditions and review rules published for each award remain controlling.
Submissions should be based on the nominee's documented experience, verifiable outcomes, and contributions directly relevant to the selected category. Whether a nomination is submitted by the candidate or by another party, positions, projects, publications, patents, standards, awards, and application outcomes should use consistent names, dates, and statements of responsibility. Confidential work may be described within appropriate limits, but broad claims should not replace the factual evidence required for review.
Frequently Asked Questions
- Choosing a category: select the award that most closely reflects the nominee's principal contribution rather than repackaging the same evidence for several directions.
- Organizing outcomes: arrange them by date or significance and state the nominee's actual role in each item.
- Amount of evidence: relevance, clarity, and verifiability matter more than volume. Repeated screenshots or attachments without a clear source do not improve a submission.
- Team achievements: distinguish the contribution of the team from the individual responsibilities of the nominee.
- English materials: Chinese and English versions should remain factually consistent, using official or established translations for institutions and technical terms.
Review and Recusal
After a completeness check, eligible nominations proceed through the applicable review process. Reviewers are required to observe independence and conflict-of-interest rules. A reviewer with recent collaboration, a direct interest, or another circumstance that may affect objective judgment should disclose the matter and recuse as required.
The Secretariat receives materials, checks completeness, and coordinates the process. It does not make advance commitments to candidates, and promotional language cannot substitute for review evidence. Any update to a submission should follow the actual system status and formal notice so that conflicting versions are not sent through multiple channels.
Final Check Before Submission
Applicants should verify the nominee's name, category, principal outcomes, dates, supporting documents, and contact information. References to third-party institutions or joint projects should describe each party's role accurately. Award arrangements, review progress, and publication of results are governed by subsequent formal information in the Association Awards section.
